Open Positions

 

Office Clerk, Full Time, 12 Month

Duties include, but not limited to:

  • Friendly, cooperative, collaborative, energetic and helpful attitude, demeanor, and behavior toward all staff and colleagues of the school.
  • Friendly, cooperative, energetic and helpful attitude, demeanor, and behavior toward all parents/guardians and visitors to the school.
  • Maintain supply of necessary lunch forms.
  • Cleaning restrooms.
  • Prepare daily teacher's lunch form.
  • Collect, record, total, and call-in student daily lunch count.
  • All responsibilities pertaining to lunch coupons, lunch count forms, and the distribution of lunch menus.
  • Contact parents in regards to delinquent lunch balances.
  • Assist with the supervision of all lunch periods in the student lunch room daily.
  • Access and verify the Free/Reduced Lunch Direct Certification monthly. Also prepare lunch form packets for eligible students not on the Direct Certification list.
  • Primary receiver of telephone calls and voice message handler.
  • Routine/Daily secretarial responsibilities in the absence of the secretary.
  • School year report forms as designated by the superintendent and/or principal:
    • Average daily attendance (ADA)
    • End-of-year housing/enrollment form
    • Monthly state lunch
    • State discipline reports in both SIS and SIRS
    • Others as designated by the superintendent and/or principal
    • All reports to be reviewed and signed by the superintendent prior to submitting to the appropriate agency.
  • Update student file folders (with appropriate student picture) and blue permanent record cards to the next grade level and appropriate class annually.
  • Distribute student pictures to teachers as requested.
  • File blue cards of transfer students to the blue card file.
  • Maintain an accurate, updated, and thorough student demographic database.
  • Send notices to parents/guardians regarding discrepancies/missing information in school files/records for immediate correction.
  • Prepare, organize, edit, post to the District website, the school newsletter (Willow Weekly) on a weekly basis. Distribution to be completed no later than the last day (morning) of each week. Final printing shall be proofed by the superintendent or his/her designee before being given to the Copy Clerk.
  • Print midterms, report cards and report card envelopes as needed.
  • Run honor roll and prepare certificates for distribution each quarter.
  • Program copying as necessary (e.g., assembly programs, schedules, etc.).
  • Serve as the registrar for all students in the District (PK-8, Summer School, Screenings): verifying residency, completing paperwork, entering into the District’s student database, entering into the State SIS database.
  • Initiate paperwork for student transfers in and out of the school and follow up with the technological input and file work to be completed:
    • add/delete computer database
    • add/delete emergency book
    • add/delete folder, file (all pertinent contents), and blue permanent card
    • update of staff list of students (add/delete/change form)
    • request of records and mailing records.
  • Prepare and have available field trip permission slips during school registration and throughout the school year for new student enrollees.
  • Prepare and organize student graduate files for the appropriate high school.
  • Prepare the supply lists for each school year and the maintenance of the like.
  • Prepare the Parent/Teacher Conference sheets and distribute them to teachers.
  • Prepare and distribute Locker/lock assignment sheets.
  • Assist with Special Education paperwork for one hour a day for forty weeks during the year.
  • Make and distribute bus passes.
  • Assist the secretary with orders and receiving as directed by the secretary, particularly in the summer.
  • Assist the secretary with preparation of the various handbooks (Staff, emergency, student, etc.)
  • Assist the Principal as directed with student discipline and assist the nurse when necessary.
  • Make recommendations to the superintendent and/or principal as to the overall improvement of office functions.
  • Any/All other duties/responsibilities as delegated/directed by the superintendent and/or principal.

Qualifications:

  • High school diploma or its equivalent
  • Proficient with multiple types of computer software, including Microsoft Word
  • Preference given to candidates who can also speak Spanish

Hours: 3-8 hour shifts, dependent upon situation, mostly between 4-10pm.

Duties include, but not limited to:

  • Wiping down student desks
  • Sweeping/Mopping/Vacuuming floors
  • Trash removal
  • Cleaning restrooms

Qualifications:

  • High school diploma or equivalent
